The Web Portal is a branded, interactive page where buyers view your proposals. Instead of sending a static PDF, you share a link to a live page that reflects your brand, updates in real time, and gives you visibility into how the buyer is engaging with the deal. Buyers see the published version of the quote — pricing options, terms, and content blocks — rendered in a clean interface with your logo, colors, and optional custom background image.

Admin setup

Before reps can use the portal, an admin needs to configure it. Navigate to Admin Console > Calculator > Portal.
  1. Enable the portal by toggling it on. This makes it available for all quotes.
  2. Upload a default background image for the portal header. Recommended size: 960 x 400 pixels.
  3. Configure a custom domain (optional). Map a subdomain like proposals.yourcompany.com so the portal looks and feels like a native part of your brand rather than a third-party link.

Draft vs. live views

Reps access the portal via the Web Portal tab at the top of any Quote page (next to the Pricing and PDF tabs). The portal has two states: Draft view. This is the rep’s sandbox. You can rearrange blocks, adjust pricing, and add content without the buyer seeing anything. All changes stay in draft until you publish. Live (Prospect) view. This is what the buyer sees. Changes only move from draft to live when you publish the quote. Publishing creates a permanent version snapshot and requires all approvals to be met.
You can update a proposal during a live call with a buyer. Make changes in draft, hit Publish, and the buyer simply refreshes their page to see the new version.

Sharing and security

On the right side of the portal page, you’ll find the Portal URL — the link you share with the buyer. For sensitive proposals, enable Magic Link access. Instead of an open URL, buyers must enter their email address and click a verification link sent to their inbox before they can view the proposal. This ensures your pricing data doesn’t end up in the wrong hands.

Managing access

Click Manage Portal Access to see a detailed activity log for the proposal:
  • Visitor email — who viewed the proposal
  • Visit start time — when they opened it
  • Specific events — which pricing options they clicked, which sections they viewed
  • Duration — how long they spent on the page
This engagement data is available in real time and gives your sales team signal on buyer intent without requiring a follow-up call.

Display options

Veles gives reps granular control over exactly how much pricing detail the buyer sees. These toggles let you simplify complex pricing for executive buyers or provide full transparency for procurement.

Line item settings

  • Quantity & labels — show or hide the quantity and UOM labels (e.g., “50 Users”).
  • List Price — toggle visibility of the pre-discount list price.
  • Discount percentage — show or hide the discount applied to each line.
  • Sublines — group sublines (components) together for a cleaner look, or ungroup them for full detail.

Table and total settings

  • Fee separation — split recurring and one-time fees into separate tables, or keep them combined.
  • Shared inputs — show or hide the shared inputs used in calculations.
  • TCV visibility — toggle whether Total Contract Value is displayed.
  • Totals-only mode — hide line-item pricing entirely and show only the final totals. Useful for executive-level proposals where the per-line detail is noise.

Visual customization

  • Custom background — while there’s a default admin background, reps can disable it or upload a company-specific image for a personal touch on individual proposals.
  • Custom columns — turn on any custom columns you’ve built to display additional data points to the buyer.
